The Project Coordinator will be responsible for managing the delivery of project services to clients which will require excellent communication, administrative, documentation, technical, negotiation, and organization skills. The Project Coordinator will be responsible for successful project outcomes and client satisfaction for full life-cycle projects related to Enterprise IT Solutions, New Client Onboarding and PC Configuration, Delivery, and Setup.

The Project Coordinator will also be responsible for the successful use of company established project methodology, systems, and tools by all members of the project team. The Project Coordinator will work cross-functionally with all other teams to accomplish world class results for the organization.

Job Responsibilities:
Coordination and management of all booked IT projects, including:

  • Project intake and commencement processes
  • Project documentation assignment and collection
  • Scheduling and coordination of project resources and client stakeholders
  • Scheduling, preparing for, and conducting project status meetings with all necessary project Stakeholders
  • Project status monitoring and reporting
  • Project closure
  • Maintaining the balance of budgeted vs. actual hours for projects and project phases
  • Negotiating, managing, reporting, and billing scope creep and "A Phase" project work
  • Engineer BU, EU, and monitoring and reporting
  • Monitoring PE time entry timeliness, quality, and accuracy on all projects
  • Product order tracking and product delivery
  • Managing and maintenance of project databases



Provide team administrative support and management including:

  • Manage the project queue of all running projects, and facilitation of delivery of priority and urgent solutions
  • Project backlog awareness and reporting
  • Monthly project billing cycle using established company process
  • Client satisfaction survey system
  • Prepare for, attend, and chair weekly Project Team meeting
  • Weekly input of accurate key performance indicator data into the Operations Dashboard
  • Accountable for meeting Project Team KPI targets
  • Attend weekly 1on1 meeting with Ops Manager
  • Participate in the development and maintenance of company service processes and work flows



Technical Qualifications
Intermediate knowledge of:

  • Server hardware and operating systems
  • Active Directory
  • VMware
  • SAN and storage array technology
  • Understanding of IP
  • Enterprise backup solutions
  • Office 365
  • Email solutions
  • Network devices (switches, firewalls, routers)
  • Remote access solutions
  • Desktops/laptops/mobile devices
